Business and Memberships Manager

Status: Part Time W2 Employee
Reports to: Executive Director
Dates: Starting September 16, 2024
Hours: 25 hours per week
Pay: $22-26/hour


Organizational Summary

El Sistema USA (ESUSA) works to ensure every child has access to high-quality music education that celebrates their voice and potential by building a national network of member organizations and educators. With over 140 member programs, 6,000 teaching artists, and 25,000 students, we support our network with staff development and training, research and data, student leadership programs, and advocacy for the field. 

ESUSA is committed to equity and excellence in music education. We envision a world in which every child—regardless of income, geography, or identity—has access to a high-quality music education program that builds community, opportunity, and personal growth. Our model emphasizes programs with free or low-cost tuition, frequent instruction (5-10+ hours per week), and ensemble-based learning.

Our work draws inspiration from the music education model of El Sistema, founded in Venezuela by Jose Antonio Abreu and championed by conductor Gustavo Dudamel. It uses music instruction in ensembles to enhance the lives of young people in under-resourced communities. El Sistema USA believes that learning music can set students on a path of self-discovery and improve life skills such as patience, persistence, and confidence.

 

Position Summary

The Business and Memberships Manager provides administrative support to El Sistema USA and manages basic business operations, finances, and ESUSA memberships in conjunction with the Executive Director, Social Media Manager, Program Consultant, Marketing Consultant, and Accountant.

 

Responsibilities

Membership Development and Management 

  • Managing the membership database integrated with the ESUSA website 
  • Managing and updating data systems for collecting membership dues
  • Managing new member onboarding
  • Running periodic donor and membership database reports in Paid Memberships Pro
  • Managing current and prospective member communication and inquiries

Finances

  • Tracking gifts and acknowledgment letters, using the CRM DonorPerfect
  • Managing bill pay and all vendor accounts for El Sistema USA in Quickbooks Online
  • Managing an ESUSA credit card for bill pay and other necessary expenses for ESUSA
  • Conducting the monthly financial reconciliation process in Quickbooks, in partnership with CPA firm

Operations 

  • Managing responses of inquiry emails sent to info@elsistemausa.org email account and answering and returning inquiries to ESUSA’s office phone line
  • Working with El Sistema USA’s Web Developer to update the ESUSA website
  • Supporting programming activities of ESUSA including through scheduling conferencing, sharing notes and recordings, and payment of guest artists, facilitators, and contractors to ESUSA
  • Other duties as assigned

 

Qualifications and Requirements

Strong candidates will offer:

  • A commitment to equitable and high-quality music education, a deep belief in the transformative role of music, and a commitment to equity, diversity, and inclusion.
  • Strong organizational, administrative, and time management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and G-Suites. 
  • Proficiency and experience with managing data within CRM systems, databases, and/or excel.
  • Basic bookkeeping and financial experience. Quickbooks experience preferred.
  • Strong written, verbal, and interpersonal communication skills.
  • Strong team player with the ability to develop collaborative relationships with diverse constituencies and populations within a performing arts environment.
  • Self starter and able to work independently.

 

Education and Experience:

  • 2+ years experience in an administrative role.
  • Experience working in a non-profit setting and/or music education institution.
